Frequently asked questions

Do I need to create an account?

No. toExpense uses your Apple ID: you just need to be signed in to iCloud on the device. No extra sign-up, email or password.

Which devices does it run on?

iPhone and iPad with iOS or iPadOS 18.6 or later. On devices that support Apple Intelligence, the app uses it to read documents better, always on the device.

How do I add receipts and invoices?

When you add an expense, choose “Scan” to photograph the document, even across several pages, “Gallery” for a photo you already saved, or “Files” for a PDF or an image (JPEG, PNG, HEIC) from iCloud Drive or another app. You can also open a PDF with toExpense straight from another app.

If the file is in iCloud Drive but not yet on the device, a banner shows the download and lets you cancel it.

How do I sync my iPhone and iPad?

Sign in with the same Apple ID on both devices and check that iCloud is on for toExpense in Settings > [your name] > iCloud. Sync is automatic.

There is no toExpense app for Mac, but with the same Apple ID you find your original receipts in the Finder, in iCloud Drive > toEXPENSE.

If an expense doesn’t show up on the other device, check your connection and available iCloud storage, then open the app and wait a moment.

Can you see my expenses or receipts?

No. Documents are read on the device and the data stays on the device and in your iCloud account: we have no servers that receive it and we cannot read it.

Expenses are end-to-end encrypted in your iCloud database, so not even Apple can read them. Original receipts are in your iCloud Drive, protected by Apple’s encryption, and become end-to-end encrypted if you turn on Advanced Data Protection in Settings > [your name] > iCloud. Advanced Data Protection applies to your whole Apple account, and sync across your devices keeps working. Before turning it on, set up a recovery key or recovery contact: Apple won’t be able to help you recover your data. See the Privacy Policy for details.

Where is my data stored?

On your device and, if you use iCloud, in your Apple account:

  • expenses in your private iCloud database, with amounts, suppliers and notes end-to-end encrypted;
  • original receipts in the “toEXPENSE” folder of your iCloud Drive, which you also see in the Files app and in the Finder on your Mac;
  • expense report header details (name, role, company) in iCloud’s synced settings.

It uses the storage of your own iCloud plan. If you move or delete receipts in the Files app, toExpense can no longer show them.

I deleted some data. Can you recover it?

Unfortunately not: since we have no access to your data, we can’t restore it. We recommend exporting your expense report as a ZIP regularly; it contains the PDF, the CSV and every receipt.

A value read from a receipt is wrong. What should I do?

Correct it before saving: every field can be edited, including the category the app suggests automatically. Automatic reading is a suggestion for you to check.

For best results, frame the whole document on a flat surface in good light. For PDF invoices, import the original file instead of a photo.

What are the optional AI models?

In Settings, under “On-device AI Engine”, you can choose an alternative AI model, useful on devices without Apple Intelligence. The model downloads once (about 1–1.8 GB, Wi‑Fi recommended) and then works offline. The download sends none of your documents.

How do I export an expense report?

Filter your expenses by period and tap the “Share Expense Report” button. You can also export the results of a search from the “Search” tab. You can create a ZIP archive (PDF, CSV and an Attachments folder), a single PDF with the report and receipts, or just the PDF report, and share it with Mail, Files or another app.

How do I open the CSV in Excel or my accounting software?

The CSV is UTF‑8 with semicolons as separators. Excel with Italian or other European settings opens it with a double click.

If the columns don’t split, in Excel use Data > From Text/CSV and choose “Semicolon” as the delimiter. In your accounting software, use its CSV import with the same settings.

How do I cancel my subscription or get a refund?

The subscription is managed by Apple. To cancel, go to Settings > [your name] > Subscriptions > toExpense at least 24 hours before renewal. For a refund, use reportaproblem.apple.com.

How do I delete all my data?

Delete your expenses in the app, then remove toExpense data in Settings > [your name] > iCloud > Manage Storage. Receipts left in the “toEXPENSE” folder of iCloud Drive can also be deleted from the Files app or the Finder on your Mac. Uninstalling the app removes the data stored on the device.
